TROG 2020 ASM – Converting to a Virtual Meeting

As you are all aware, we are in the midst of a global coronavirus outbreak. The TROG Board has been monitoring the situation closely for some time. In particular, the emergence of new information regarding the coronavirus in the last 24-48 hours. The Board has considered again today the uncertain and rapidly evolving nature of this situation and the inherent risks should we proceed with a face to face meeting as planned. In the light of these considerations, the TROG Board have made the decision that the face to face TROG 2020 ASM in Sydney should be cancelled and instead be hosted as a Live Virtual TROG 2020 ASM.

Delegates will be participating REMOTELY and there will be NO access to the previous location, i.e. the International Convention Centre.

Please note that all social events associated with the TROG ASM have also been cancelled.

The Technical Research Workshop and Clinical Research Education Workshop have been cancelled, however the Radiation Oncology Trainee SMART Workshop and Proton Therapy Planning Workshop will proceed as virtual workshops.

The health and safety of our members, TROG central office staff, sponsors/exhibitors, general delegates and conference organisers are paramount. The Board has had to also consider the wider implications of an actual (or potential) COVID-19 exposure. The risk of a delegate being exposed to (or suspected to have been exposed to) COVID-19 at the ASM could result in a significant proportion of the radiation oncology workforce in Australia being placed in isolation for two weeks. This would have devastating consequences for the care of cancer patients across the country.

This has been a difficult decision and we recognise it imposes significant inconvenience for all participants. We must recognise that although the risk is relatively small, the potential consequences to the wider community could be very widespread. Coupling this together with the current Federal and State government approach  to containing  the spread of this virus, the TROG Board decided that the risk of delivering a face to face TROG 2020 ASM outweighed the inconveniences of moving to a Live Virtual TROG 2020 ASM

It is disappointing that we will not get to meet in person in Sydney, but we are managing this the TROG way, by innovating, by being agile and by looking at ways to exploit technology. The TROG 2020 ASM will therefore go virtual!  The TROG Board and 2020 ASM Program Committee are breaking new ground in terms of hosting a virtual meeting and TROG will be one of the few  meetings to embrace such an approach when  many meetings are being cancelled.

Over the coming days, registered delegates will be emailed an access link and password, together with further instructions on how to participate in the virtual meeting. Delegates will still be eligible for CPD points for their participation in the Virtual TROG 2020 ASM.

In converting the TROG 2020 ASM to a virtual meeting it is envisaged that:

• the valuable preparation that our members have undertaken may be utilised;
• educational content developed may be accessed;
• the opportunity to interact with our colleagues in order to share ideas and collaborate may still be realised; and
• the hypothesis that “remote meetings with lower environmental footprints can work for radiation oncology professionals” can be tested first hand by TROG!

Finally, as always, we will be collecting your feedback on the TROG 2020 ASM and will be open to your views on what worked and what did not work. The circumstance to that have led us to delivering a Live Virtual TROG 2020 ASM are out of our hands but we can always learn from this!
